Privacy notice
Last updated: 9 October 2026.
Adeona is software for coaching practices: one place for a practice's enquiries, calls, follow-ups, bookings and email. This notice says what information Adeona handles, why, who else handles it, and how to ask for it to be corrected or deleted.
Who is responsible
Adeona is run by Suyyash Raj Arora, based in India. For anything in this notice, write to privacy@getadeona.app.
There are two situations, and who is responsible differs between them.
- You use Adeona to run your practice. We are responsible for your account information.
- You are a client or prospect of a practice that uses Adeona, for example you booked a session or filled in a form on a coach's website. That practice decides what is collected about you and why; we store and process it on their instructions. Ask the practice first. If they do not answer, write to us and we will pass your request to them.
What we handle
| Information | Where it comes from | What it is used for |
|---|---|---|
| Your name and email address | Google, when you sign in with your Google account | To sign you in and show who did what inside your organisation |
| A second sign-in factor, if you set one up | You | To confirm sensitive actions. The secret is stored encrypted |
| Your organisation's records: contacts, enquiries, calls, tasks, bookings, notes, consent records, email sent and received through the team mailbox, campaigns | You and your staff, your clients when they book or fill in a form, and files you import | To provide the product to your organisation. We do not use these records for anything else |
| Your Google Calendar's busy times, and the events Adeona creates for bookings | Google, only if a member of your organisation connects their calendar | To avoid double bookings and to put a booking, with its meeting link, in the calendar. Adeona does not read the titles or contents of your other events |
| A record of changes made inside your organisation | The product | So an organisation can see who changed what, and for security |
| Technical records: the time and address of a request, its internet address, and whether it succeeded | Your browser | To keep the service running, to limit abuse, and to investigate faults. These records do not contain the contents of your records |
Information from Google
Adeona's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. We use it only to provide the features described above. We do not sell it, do not use it for advertising, and do not use it to train general artificial-intelligence models. People do not read it, except with your permission, for security, or where the law requires.
Cookies
Adeona sets only the cookies it needs to keep you signed in and to protect your session from forged requests. There are no advertising or analytics cookies. The public booking page and embedded forms set no cookies at all.
Emails sent through Adeona contain no open tracking and no click tracking.
Who else handles the information
| Company | What they do for us |
|---|---|
| Cloudflare, Inc. | Runs the application, stores its databases and files, and delivers account and booking email |
| Google LLC | Sign-in, and Google Calendar where a member connects it |
| Resend | Delivers email campaigns an organisation chooses to send |
These companies may process information outside your country. We do not sell personal information and do not share it with anyone else, except where the law requires it.
Marketing email and consent
A practice using Adeona can send a campaign only to people whose consent to marketing email is recorded. Every campaign email has an unsubscribe link that works with one click; unsubscribing takes effect at once.
How long it is kept
An organisation's records are kept for as long as the organisation has an account. When an organisation closes its account, its records are deleted within 30 business days, unless the law requires some of them to be kept for longer. Technical records are kept for a short period for security and fault-finding, and then deleted.
Your choices
- An organisation can export its contacts, leads and activities at any time, and can ask for its account to be closed from inside the product.
- You can ask us for a copy of your account information, to correct it, or to delete it.
- You can withdraw Adeona's access to your Google account at any time in your Google account's security settings.
- If you are a client of a practice, ask that practice; they can correct or remove your record, and can record that you do not want to be contacted.
Write to privacy@getadeona.app. If you are not satisfied with our answer, you may complain to the data protection authority where you live.
Children
Adeona accounts are for adults running or working in a practice. A practice that works with children is responsible for obtaining a parent's or guardian's consent.
Security
Each organisation's records are kept in their own database. Access inside an organisation is by role, and changes are recorded. Connections are encrypted. No system is perfectly secure; if we learn of a breach affecting your information we will tell you and the organisations concerned without undue delay.
Changes
We will post changes here and change the date at the top. For a significant change we will also tell account owners by email.
